HomeMy WebLinkAbout5495 Positive Time ReportingFINANCIAL MANAGEMENT 5495 (also 7640) Page 1 of 2 Bonneville Joint School District No. 93 Positive Time Reporting FEDERAL POSITIVE TIME REPORTING Many programs administered by Bonneville Joint School District No. 93 are funded through federal sources and as such are required to meet federal guideline s in order to qualify. If federal funds are used for an employee’s salary, the employee is required to record time spent working on a federal program on their time card as hours worked through means of “positive time reporting”. Guidelines Recording Time Any vacation, sick leave, compensatory time taken, holiday pay, o r other non-worked pay shall be distributed according to the default index(es) assigned to the employee’s position. Review A quarterly review and reconciliation shall be performed to ensure time is being charged appropriately. Employee Responsibility Employees are responsible to: 1. Correctly charge actual time worked to the appropriate funding source(s) associated with any federal programs. 2. Work with their supervisor to determine correct index(es) to use on their time card. Supervisor Responsibility Each pay period, supervisors are required to verify hours were actually spent working directly on the federal or other programs and correct index(es) were used in coding the time card. Director of Special Education and Federal Programs/Designee Responsibility The Director of Special Education and Federal Programs/Designee will: 1. Discuss needs with the supervisor; 2. Closely monitor activities, expenses, and revenue of the federal program(s); FINANCIAL MANAGEMENT 5495 (also 7640) Page 2 of 2 Bonneville Joint School District No. 93 Positive Time Reporting 3. Report any deficiencies or when a funding source has been exhaust ed to the Superintendent/Chief Financial Operations Officer; 4. Inform the Chief Financial Operations Officer if a new index code needs to be established; 5. Inform the Chief Financial Operations Officer if an entirely new grant needs to be rewarded. DEFINITION Positive Time Reporting: Recording actual time spent working on a set of activities which are applicable and allowable under the terms and conditions of the funding source.
