Bonneville Joint School District No. 93
WRITTEN MINUTES
The Clerk of the Bonneville Joint School District No. 93 Board of Trustees shall keep
written minutes of all its meetings, which shall be signed by the Board Chairperson and the
Board Clerk. All minutes shall be available to the public within a reasonable time after each
meeting.
Guidelines
Items to be Included in Minutes
1. Minutes shall include at least the following:
a. The date, time and place of the meeting;
b. The presiding officer;
c. Board members recorded as absent or present;
d. All motions, resolutions, orders, or ordinances proposed and their disposition;
e. The results of all votes, and upon the request of a member, the vote of each
member by name;
f. Legal basis for recessing into executive session; and
g. Time of adjournment.
2. Minutes of Executive Sessions shall be limited to a specific reference to the Idaho code
subsection authorizing the executive session and sufficient detail to provide the general
subject matter to identify the purpose and topic of the executive session.
a. The roll call vote to go into executive session shall be recorded in the minutes.
b. The minutes shall not contain information that would compromise the purpose of
going into executive session.
3. Minutes of Negotiation Sessions between the District and the local education
organization shall be kept.
4. When issues are discussed that may require a detailed record, the Board may direct
the Clerk to record the discussion verbatim.
Items Not for Public Record
All shorthand notes, transcripts, tapes or other preliminary information developed or
derived for the intent or use to complete the minutes are not public record, and will not
be released to any individual.

Approval of Minutes
1. Unofficial minutes shall be delivered to Board members in advance of the next
regularly scheduled meeting of the Board.
2. Minutes need not be read publicly, provided that members have had an opportunity
to review them before adoption.
3. Minutes may be approved as an item on the Consent Calendar.
Official Minutes
1. Minutes become official when approved by the Board of Trustees at a regularly
scheduled meeting of the Board of Trustees.
2. A file of official minutes of Board meetings shall be maintained in the District Office .
3. Minutes shall be made available during normal working hours, upon written request
to the Clerk of the Board, and upon payment of an amount to cover the cost of any
reproduction requested.
4. The official minutes of the Board of Trustees shall be kept in perpetuity in paper or
electronic format.
